I would suggest a letter as early as possible so the tennant has time to plan. Treat him as you would like to be treated.
Also, sending a UPS Next Day Air envelope with personaldelivery (don't check the "may be left" box) costs about $16 and is signed for and rarely ignored. jmho.
Basically treat him as you would like to be treated.
